If you type “getting organized” into your favorite search engine, it’ll return about 361,000,00 results.
That’s a staggering amount of information.
But there’s one piece of information that will likely be missing from the plethora of results, and it’s key to organizing success.
Today, I’m spilling the organizing containers (but not the Lego one, that one took forever to sort and organize) and letting you in on what no one tells you about getting organized!
The Truth Behind “Getting Organized”
There’s no such thing as “getting organized.”
There, I’ve said it.
*cue the throwing of rotten tomatoes*
Before you pelt me with your putrid produce, think about this: how many times have you “gotten organized?”
I’ve gotten organized hundreds of times. I certainly never stayed organized (until I discovered the information in today’s post).
How about you? Did you “get organized,” forget all about organization and STAY organized?
No, I didn’t think so.
You can’t just “get organized,” then never think about organization again. If you do (like I have many times), you’ll quickly find yourself and your surroundings in disarray. Again.

I feel your pain and frustration, but don’t give up just yet. There’s actually a simple way to maintain your hard-won organization!
The Key to Maintaining Your Organization
You guys, this is super secret, mind blowing stuff here. You’ve definitely never heard it on this blog before! 😉
Just kidding. I talk about it ALL. THE. TIME.
Because it works.
And because eventually it becomes automatic, so you don’t spend tons of time and energy thinking about, planning, and getting organized.
The only way to truly get organized and STAY that way is to create a routine for maintaining your organization!
First Steps to Build Your Office Organization Maintenance Routine
Before you can even think about maintaining your organization, you need to do a little work.
You’ll need to:
- Clear the clutter in your office – it will creep back in over time, but a solid decluttering session will ensure that you have the time, space, and energy to establish an organization maintenance routine.
- Assign homes to every item in your work space – if you don’t complete this step then picking up after yourself will take far too much of your valuable time and energy.
- Put necessary storage systems in place – every office needs a few basic storage systems like a filing system, a way to track your to-do’s, etc. Think about items that are troublesome for you (paper?), then put a storage system in place for it.

Add a Few Important Organization Tools
Now that your office is decluttered, you’ve assigned homes to all items, and you’ve put a few storage systems into place, you’ll need to add two tools to your office that will make your organization maintenance routine easier:
- An office inbox
- A way to track your to-do’s and the items associated with them
I talked in depth about the humble office inbox in this post: My Favorite Clutter-Busting Tool for the Home Office. Be sure to check out this post if you’ve never used an inbox in your office or if your current inbox always seems to be overflowing.
I like to use action files to track my to-do’s and the items associated with them. You can learn all about action files and how to start using them in this post: How to Use Action Files to Manage To-Do’s.
I also use Trello to track my to-do’s and formulate daily task lists.
In the past, I’ve used a tickler file to organize and store items associated with tasks. You can learn more here: Organize with a Tickler File.
There are many options if you need a system to organize your tasks and store items associated with them. Experiment until you find a system that works for you then tweak it to perfectly suit your needs and situation.
Once you have these two tools in place, you’re ready to start establishing your office organization maintenance routine (say that three times fast 😉 ).
The Office Organization Maintenance Routine
In order to maintain the organization in your office, you’ll have 3 tasks to complete each day.
You’re going to:
- Spend a small block of time processing your to-do items (see the action files post above for more information)
- Empty your inbox by processing the items in it (opening mail, filing, adding contact information to your contact database, etc.)
- Clear your desk at the end of the day (see this post for more information)
That’s it! Just 3 tasks. And they get easier the more you complete them!
Like all routines, this one will take some time to establish. But once it becomes a regular part of your day, you’ll STAY organized and free up time for other goals, projects, and activities.
